Steps

  1. 📊 Open the Excel file
    • File path: C:\Users\smerd\Documents\Yuyo SRL\Businesses\Finanzen_Einkäufe_Lebensmittel.xlsx
    • Open this file on Stefan’s laptop.
  2. 📅 Check the last entry
    • Look at the last row with data and note the date.
  3. ➕ Extend the date column
    • Add rows in column C until the day before today.
  4. 🌐 Update occupancy data
    • Log in to yuyo.info/wp-admin.
    • Navigate to Finca Occupancy → Planner (2 months).
    • Enter the occupancy numbers into column B of the Excel sheet.
  5. 📊 Open the second Excel file
    • File path: C:\Users\smerd\Documents\Yuyo SRL\Businesses\Finanzen_Privatverbräuche.xlsx.
  6. 🔎 Check private consumption
    • From the noted date onward, look through all rows where column K contains:
      • PE Ernährung 🍽️
      • PE Wasser 💧
  7. 📊 Open the third Excel file
    • File path: C:\Users\smerd\Documents\Yuyo SRL\Businesses\Finanzen_Yuyo_2025.xlsx
  8. 🔎 Check consumption of food and Water bought for Volonteers or other persons at the finca which are included 🍽️
    • From the noted date onward, look through all rows where column M contains:
      • “Yuyo Nahrung Volontäris
  9. ✍️ Transfer data
    • Copy these values line by line into the first Excel file, aligned with the correct date.
    • If there are multiple positions for the same day, use additional columns as needed.
  10. ↘️ Update formulas
    • Once all rows and columns are filled, drag down the formulas in columns D and M to O to extend them to the new cells.
  11. 💵 Insert exchange rate
    • Look up the current Dollar–Colón exchange rate online.
    • Enter the rate into column P.
  12. 📉 Read the result
    • The current value of average food purchases per person per day can now be read from column D.
  13. 🪧 Write it on the board
    • Note the value and write it on the board in the hallway between the main house and the volunteer kitchen.
    • Overwrite the old value.
  14. ⬇️ Update the minimum value
    • If a new lowest value is reached, update it as well.
  15. 📆 Saturday values
    • If there is a new Saturday value, which serves as the basis for food cost calculations for the association and volunteers, enter it too.
    • Round this value up to the next full dollar when recording it.
