How to Setup Volunteers to reiceive Tasks via Telegram

This guide explains how to connect a volunteer to the Yuyo task system so that they can receive their work tasks via Telegram.

1. Get the volunteer’s Telegram number

Ask the volunteer for the phone number they use for Telegram.

Add the volunteer as a Telegram contact so that you can communicate with them during the setup process.

2. Let the volunteer connect their Telegram account

Send the volunteer this instruction:

The volunteer follows this instruction on their own device.

After completing the process, their Telegram Chat ID will be sent to the person currently configured as the recipient. At the moment, this is Stefan (@mejorventura).

3. Store the Telegram Chat ID

The Telegram Chat ID must be stored for the volunteer in the Yuyo database.

Open the database, usually via FileZilla, and find the volunteer in:

wp_finca_guests

Enter the received Telegram Chat ID into:

telegram_chat_id

Save the change.

4. Enable the volunteer for Work Tasks

In WordPress, go to:

Tools → Finca Work Tasks → Guests

Find the volunteer in the list.

Check Work? and click Save.

This enables the volunteer to be selected as a recipient of work tasks.

5. Check or create the volunteer’s Pay Period

In WordPress, go to:

Finca Occupancy → Guests

Use Open periods by guest ID and enter the volunteer’s Guest ID.

Check whether a Pay Period already exists that covers the volunteer’s current stay.

If there is no valid Pay Period:

  1. Create a new Pay Period.
  2. Enter the appropriate start and end dates.
  3. Select the appropriate Pay Category.
  4. Save the Pay Period.

The Pay Period must cover the current date for the volunteer to be recognized by the task system.

6. Send a Test Task

Go to:

Tools → FWT – Telegram → Test Task

The volunteer should now appear in the dropdown list.

Select the volunteer and click Send Test Task.

WordPress should display:

Test message sent successfully.

The volunteer should receive the following message in Telegram:

Test message from Finca Work Tasks ✅

If both happen, the setup is complete and the volunteer is ready to receive tasks via Telegram.

Troubleshooting: Volunteer does not appear under Test Task

If the volunteer does not appear in the Test Task dropdown, check all of the following:

  • The volunteer has a booking for today.
  • Work? is enabled under Tools → Finca Work Tasks → Guests.
  • A valid Pay Period covers the current date.
  • The Pay Period uses an appropriate work/volunteer Pay Category.
  • The volunteer’s Telegram Chat ID is stored in wp_finca_guests → telegram_chat_id.

All of these conditions must be met before the volunteer appears as an eligible recipient.

  • Get their Telegram Number
  • set them up as a Telegram contact
  • Send them the following instruction: “How to connect your Telegram for tasks”
  • After volunteer sent Telegram ID to you (now set up is Stefan as recipient @mejorventura) this Telegram ID needs to be inserted into the Database-Table wp_finca_guests into field telegram_chat_id. Usually via Filezilla.
  • Enable the volunteer for Work Tasks
    Go to Tools → Finca Work Tasks → Guests.
    Find the volunteer, check Work?, and click Save.
  • Check or create a Pay Period
    Go to Finca Occupancy → Guests → Open periods by guest ID.
    Enter the volunteer’s Guest ID.
    Make sure there is a Pay Period covering the current stay. If there is none, create one and select the appropriate Pay Category.
  • Send a Test Task
    Go to Tools → FWT – Telegram → Test Task.
    Select the volunteer from the dropdown and click Send Test Task.
  • Verify the connection
    WordPress should display “Test message sent successfully.”
    Confirm that the volunteer received “Test message from Finca Work Tasks ✅” in Telegram.
  • If the volunteer does not appear under Test Task:
  • Check that all of the following are true: the volunteer has a booking for today, Work? is enabled, a valid Pay Period covers today, and a Telegram Chat ID has been stored for the volunteer
